Notion, Calendar, Mail — the Big Three Have Arrived.
Good morning Productivity Community 👋🏾,
So, I’ve officially been off the waitlist for a few days now… and y’all—I finally logged in.
Let me just say this real quick: Notion is not playing around anymore and they haven't been for a while, especially with their steps to build their own suite of apps.
They’ve rolled out Notion Calendar and Notion Mail, and we are now looking at a full-on ecosystem. Not just a notes app. Not just a task manager. Not just a doc-style workspace.
We’re talking about planning, scheduling, tracking, AND emailing—all inside the same space.
And listen: I already know this is going to change how a lot of us move through our digital systems. So of course, I had to break it all down for my community first 💌
I’m currently prepping a YouTube video with a full walkthrough of Notion Mail, but here’s a deep dive into everything I’ve learned and loved so far. (Screenshots included!)
🌟 The Big Picture
So here’s what’s happening:
Notion Calendar is live (formerly Cron, now fully integrated)
Notion Mail is now in beta
Both are made to connect directly to your Notion workspace—like for real this time
The goal? Seamless workflows. Less tab switching. Better focus.
We're moving into a true all-in-one setup, and it feels... clean—almost too clean (more on that later)
🗓️ Let’s Start with Notion Calendar
Honestly, this is still my favorite of the two right now.
Why?
Because this isn’t just a calendar app—it’s a Notion-integrated calendar. That means your events can live inside your databases. Your meeting notes, content planning, launches, and reminders can all be connected to the same system you’re already using.
Here’s what I’ve noticed so far:
✅ You can sync your Google Calendar (and it updates in real time)
✅ You can create events that link directly to Notion pages
✅ It feels super clean, minimal, and distraction-free
✅ Color coding and multiple calendar views are chef’s kiss
✅ You can switch between personal and team views with one click
This alone changed how I plan launches and batch my content.

Also, the way it syncs directly to Notion databases means there’s no more manually copying over tasks. You update it in one spot—and it reflects everywhere. Game-changer.
📧 Now Let’s Talk Notion Mail
Notion Mail is still in beta, but I got access and have been testing it.
Here’s the tea:
It connects to Gmail (for now)
You can send and receive emails within Notion
You can connect emails to any page—like linking an email to a client project, a campaign, or a task
Basically, it’s giving Airtable + Gmail + docs all in one.
This is the kind of thing that helps you keep track of what was said, when, and why—without having to scroll through inbox chaos.
I’m still exploring how powerful this can be, but my mind is already racing thinking about:
Tracking email convos with brands
Keeping receipts/confirmations tied to travel plans
Following up on launches or collabs without leaving Notion
🔄 How This Could Change Your Workflow
If you’ve ever felt like your systems were scattered, this setup brings the pieces together in a way we haven’t seen before.
Y’all know I’m all about streamlining—and this is that.
My Honest Feedback (So Far)
You know I always keep it real, and while I am excited about all these new features, there are a few things I think Notion could definitely improve.
Getting Started Feels Familiar (in a Good Way)
Starting out, it's pretty easy to navigate—Notion users will feel right at home. It’s definitely different from your typical Google apps, but it still has that clean, minimal Notion look and feel that I like. The learning curve is pretty low if you’ve already been using Notion.
But… Here’s What’s Not Working for Me:
1. The Trash Situation is a No for Me
One thing I instantly noticed—and didn’t love—is the way the trash is set up. Just like in regular Notion, there’s no “empty trash” button. You have to go in and delete everything one by one.
That’s fine for documents. But for email? That’s a dealbreaker.
When I’m done with emails, I want to delete them and move on—not scroll endlessly selecting them one at a time. But with Notion Mail, it’s even worse than that. Once an email is moved to Trash, the delete option actually disappears. There’s no button to fully delete them at all. From what I can tell, those emails just sit there until they auto-expire.
That kind of thing will definitely have me switching back to Gmail just to manage the trash, which defeats the whole point of using Notion Mail in the first place. If I’m using a productivity tool, I need it to work with me, not add extra steps or clutter.
2. Adding Accounts is a Little Disappointing
Another thing: when I tried to add a second email account, it seemed like I could only add another Notion account—not just another Gmail.
Now maybe I’m missing something (and if I figure it out later, I’ll update y’all), but the process was not clear. I’m not trying to create a whole separate Notion workspace just to check an additional inbox. What if I just want to manage a business email or a secondary Gmail for projects? Not everyone wants a new Notion environment every time.
I get it from a business standpoint—they want users fully integrated into their tools—but it would be nice to have more flexibility. Especially for those of us juggling multiple emails already.
🧠 Final Thoughts
Notion Mail and Calendar are powerful additions—and we’re just getting started.
Are they perfect? No.
But are they exciting and full of potential? Absolutely.
This kind of integration could eliminate the need for so many external tools and browser tabs. And I’m all for anything that makes life simpler and workflows cleaner.
